F&B distribution is a race against dates. Every carton on the truck is losing shelf life by the hour, and the difference between profit and wastage is rotation discipline. This is how van sales works when the product is perishable.
1The clock built into every carton
Bread, dairy, juices, chilled and frozen goods — an F&B van is a rolling expiry list. The operational consequence: rotation is not an accounting nicety, it is the margin. First-expiry-first-out must govern what gets loaded in the morning (oldest saleable batches first) and what gets sold at each door. A van sales app that does not know batch and expiry is, for F&B, not a van sales app.
2Where wastage actually comes from
Three sources dominate: goods loaded past their sell-by window, over-supplying outlets that cannot sell through before expiry, and returns that go unrecorded until they are a depot mystery. All three are visibility problems. Suggested quantities from real sell-through history stop the over-supply; short-date flags stop the bad loads; returns captured at the door with reasons make the wastage report mean something.
3Chilled routes and daily rhythm
F&B routes run early and repeat daily or near-daily — the 7am bakery drop is a business commitment, which is why drop sequencing matters (the same discipline as DSD). Cold-chain items add another constraint: minutes at the door count, so the sale, invoice and payment must be fast — order history pre-loaded, promotions automatic, printer ready.
4Returns and credit notes, done properly
Expired and damaged returns are structural in F&B. Each pickup must be recorded at the door, by reason, against the original invoice — producing a credit note that keeps the customer's balance and your VAT position accurate. Loose paper notes become disputes; recorded returns become a wastage report by outlet, item and reason that you can actually act on.
