1What is van sales software?

Van sales software runs direct selling from a delivery vehicle. The driver carries stock, visits outlets on a planned route, sells on the spot, prints a VAT invoice at the door, collects payment, and returns to reconcile the day. The software's job is to make every one of those steps recorded, controlled and visible to the office as it happens — and to make the end-of-day settlement a report instead of an argument.

In the UAE and wider GCC, van sales is how a large share of FMCG reaches the market: groceries, baqalas, cafeterias and small supermarkets restocked daily by vans from distributors. The model is fast and personal — and without software, it is also where distributors leak the most money.

2Who needs it — and who doesn't

You need van sales software if drivers sell from truck stock: FMCG and food distribution, beverages, dairy, snacks, personal care, lubricants. The clues are unmistakable — handwritten invoices being retyped at night, evening cash counts that run past dinner, expired stock discovered in the van, and customers disputing what they received.

3The workflows that decide success

Brochures list features. Operations run on workflows. These are the ones that make or break a deployment:

1 — Morning load. Stock is requested from the mobile app, verified by the warehouse, and signed onto the van. If your software cannot reconcile what was loaded against what was sold and returned, everything downstream is guesswork.

2 — The visit sequence. A journey plan tells each driver which outlets, in which order, on which day. Route adherence tracking tells you whether it happened.

3 — Sell and invoice at the door. Order lines, customer-specific prices, promotions applied by the system (not by the driver's memory), and a printed VAT tax invoice in Arabic and English. This is where UAE compliance lives or dies.

4 — Credit checked before selling. The driver should see the customer's balance and overdue status before extending more credit — with the system blocking sales your rules would refuse.

5 — Collections. Cash and cheques taken against today's and older invoices, recorded at the moment of collection, with the driver's daily total building automatically.

6 — Returns. Expired and damaged goods taken back with reasons, so the wastage report means something.

7 — Day close. The whole day — sales, collections, returns, stock variance — settles in minutes and posts to accounting without retyping. If a vendor cannot demo the day-close convincingly, walk away.

4The one technical requirement that outranks all others

Offline-first architecture. UAE routes go through basements, industrial areas and loading docks; GCC routes cross interior stretches with no signal for hours. Software that needs a connection to invoice will stop your route. The correct design keeps everything working locally on the driver's device and syncs automatically whenever coverage returns. Ask every vendor to demo an invoice in flight mode — it is the fastest filter in the market.

5Hardware: less than you fear

A standard Android phone or rugged handheld per driver, a Bluetooth thermal printer for door-step invoices, and optionally a barcode scanner. No exotic equipment; replacement devices are same-day purchases. Budget the printer as the item that takes the most abuse.

6What it costs — honestly

Most credible vendors in the UAE quote per project rather than publishing prices, because scale changes everything: three vans and one warehouse is a different project from forty vans across two emirates. The structure of the cost is predictable though: software licences or subscription, implementation and training, and hardware per van. When comparing quotes, compare the implementation scope line by line — the cheap quote is usually cheap because the training and parallel-run weeks are missing, and those are precisely the weeks that decide whether drivers actually use the system.

A vendor comfortable with all ten is a vendor who has lived this workload. Hesitation on questions 2, 7 or 9 is a red flag with wheels on it.

8Mistakes we see distributors make

Buying features instead of workflows. A long feature list with a weak day-close loses money daily. Skipping the parallel run. Going live cold turns week one into chaos; run old and new side by side until the numbers match. Treating driver training as optional.
